How to Write a Fastener RFQ That Gets You an Accurate Quote Fast

“Need 500 bolts for a site job, please quote ASAP” is a real RFQ we’ve seen land in a supplier’s inbox, in one form or another, more times than it should. It’s also a request that cannot be quoted — not because the supplier is being difficult, but because at least six pieces of information required to price it correctly are simply missing: which bolt, what diameter and length, what material, what standard it needs to meet, where it’s going, and by when. What follows that kind of RFQ isn’t a fast quote. It’s a phone call, an email asking for a drawing, another email asking for the grade, and — three or four exchanges later — a quote that could have gone out the same day the first message arrived.
The irony is that writing a complete RFQ takes barely longer than writing a vague one. It just requires knowing which handful of details actually matter to a fastener supplier and putting them in the first message instead of the fourth. Why a Vague RFQ Costs You Time, Not Saves It
The instinct behind a short RFQ is usually speed — get the request out quickly, let the supplier ask what they need. In practice, this almost always produces a slower result than a slightly longer, complete request, for a simple reason: every missing field becomes a separate round-trip email or call, and each round-trip sits in someone’s inbox for however long it takes them to notice and respond, not however long it takes to actually answer. A five-question clarification thread stretched across a working day or two is common, and every day spent clarifying is a day added to your actual lead time, not just your quoting time.
There’s a second, quieter cost too: a supplier working from a vague RFQ has to guess, and guesses skew toward whatever’s easiest to source rather than what you actually need. “500 bolts” with no material specified is quite likely to come back quoted in mild steel, because that’s the default assumption in the absence of other information — not because mild steel was ever the right answer for your application. You may not discover the mismatch until the quote (or worse, the delivery) is in front of you.
What a Supplier Actually Needs to Quote You Correctly
A fastener RFQ that can be quoted without a follow-up question typically covers these points. Not every field applies to every order, but working down this list before you hit send catches the ones that do.
Product type and governing standard. “Hex bolt to IS 1364” or “carriage bolt to DIN 603” tells a supplier which product family and dimensional standard applies — far more specific than “bolt,” which could mean dozens of different head styles and thread forms. If you don’t know the standard, a photo or the equivalent product name is a reasonable substitute (more on attachments below).
Dimensions. Nominal diameter and length at minimum (e.g., M12 × 60), plus thread pitch if it’s non-standard (fine thread rather than the default coarse pitch for that diameter) — pitch is easy to forget and one of the more common causes of a wrong-part delivery.
Material and grade/property class. Mild steel, stainless (and which grade — 304 or 316), or a specific property class like 8.8 or 10.9. This single field probably has the largest effect on both price and lead time of anything on this list, so leaving it blank is the single costliest omission.

Quantity and unit of measure. Specify whether the number is pieces, kilograms, or boxes — a mismatch here is a surprisingly common source of a wildly wrong-looking quote that’s actually just priced against the wrong unit.
Drawing, standard clause, or part number reference, if one exists. Even an internal drawing number or a reference to “same as PO #4471” gives a supplier something concrete to match against, rather than relying on a text description alone.
Packaging requirements. Loose, boxed, bagged in specific quantities per bag, or palletised — especially relevant for site deliveries where onward handling and storage matter. Delivery location and required-by date. Not just the city — the actual site or warehouse, since it affects freight quoting — and a realistic required-by date rather than a blanket “ASAP,” which suppliers generally can’t quote a lead time against meaningfully.
Testing or certification requirements. Whether you need a mill test certificate, and which EN 10204 certificate type (2.1, 2.2, 3.1, or 3.2) your project specification calls for. That’s nine fields, and in practice most RFQs only need five or six of them filled in explicitly — the rest are either not applicable to a given order or can be reasonably defaulted (standard packaging, no certification required) as long as you say so, rather than leaving the field blank and ambiguous.
A Worked Example: Before and After
Here’s the “500 bolts, ASAP” request from the opening, rewritten as a quotable RFQ using the checklist above.

Notice that the “after” version isn’t dramatically longer — it’s the same request with the ambiguous parts replaced by specific ones. A supplier reading this can price it, check stock or lead time against the actual grade and size, and quote back the same day, because nothing in it requires a guess.
Standard (Ex-Stock) vs Custom (Made-to-Order): Say Which You’re Expecting
One field that doesn’t fit neatly into the checklist above but changes everything about how fast you get a quote is whether you expect a standard, ex-stock product or you’re open to (or specifically need) a custom, made-to-order one. A standard hex bolt in a common size and grade is usually quoted and dispatched from existing inventory within days. A non-standard length, an unusual grade combination, or a genuinely custom part — a specific stud length not commonly stocked, a coating not normally applied to that product line — typically requires a manufacturing run, which changes both the price basis (tooling, minimum quantities, and setup costs get spread across the order) and the lead time from days to weeks.
Buyers who don’t state this assumption sometimes get a quote based on the wrong one — either a “closest standard equivalent” substitution they didn’t ask for, or a custom-manufacture quote and lead time for something that was actually available off the shelf in a slightly different but perfectly acceptable size. Stating explicitly “standard product acceptable” or “must match this exact specification, no substitution” removes that ambiguity and is often the single fastest way to find out whether you’re looking at a same-week or several-week order.
How Suppliers Actually Price a Fastener Order
Understanding roughly what goes into a fastener quote makes it easier to see why certain RFQ fields matter as much as they do. Pricing generally reflects four components: raw material cost, which moves with commodity steel and stainless prices and is why quotes typically carry a validity period (commonly 7–30 days) rather than being open-ended; processing and finishing cost, covering machining, heat treatment, and coating, which is where grade and finish specifics change price the most; order quantity and packaging format, since smaller quantities and specialised packaging (bagged in small counts, for instance) cost proportionally more per piece than bulk loose packaging; and freight and delivery, which depends on destination, urgency, and whether the order ships as a single consignment or in staged releases.
None of this is meant to turn a buyer into a pricing expert — it’s meant to explain why “quote ASAP” without the rest of the fields genuinely can’t be priced accurately rather than a supplier simply being unhelpful. Attachments That Speed Things Up
A short RFQ with the right attachment often beats a long RFQ with none. Useful attachments include:
A drawing or datasheet reference, even a rough one, especially for less common product types (specialty anchors, custom-length studs, non-standard flanges) where a text description alone leaves room for misinterpretation.
A photo of the existing part, if you’re replacing or matching something already installed — this is often faster than describing a head style or thread form in words, particularly for older or regionally specific fastener types.
A copy of a previous PO or quote for a similar order, which lets a supplier see exactly what was ordered last time and confirm whether this order is identical, a variation, or something new.
The relevant page of your project specification, where one exists, particularly for standards, certification, or coating requirements — this removes any ambiguity about which clause applies.
RFQ Mistakes That Force a Second Round of Emails
Specifying a brand name instead of a standard or specification. “Bolts like the ones from [previous supplier]” only works if the new supplier happens to stock an identical product — a standard reference (IS, ISO, DIN, ASTM) or a dimensional spec is something any supplier can quote against directly.
Leaving material and grade for “whatever’s standard.” As covered above, this is the single most consequential field to leave blank, and the one most likely to produce a quote for the wrong product entirely.
Bundling wildly different products into one line item. “Various fasteners for the project” without breaking out quantities by size and type usually comes back as a request for more detail rather than a quote, since pricing genuinely differs by product.
Not stating the required-by date. Lead time affects price — rush orders and standard-lead-time orders aren’t quoted the same way — so a missing date either produces a standard-lead-time quote that doesn’t meet your actual deadline, or a delay while the supplier asks.
Sending the RFQ to a general inbox with no way to follow up. Include a direct contact name and number alongside the email, so a supplier with a quick clarifying question can resolve it in one call rather than waiting on an email reply.
What Happens After You Send a Good RFQ
Even a complete RFQ can still generate one clarifying question — that’s normal, and it’s a very different experience from the five-question thread a vague RFQ produces. A supplier reviewing a well-specified RFQ is typically checking three things: stock availability against your required-by date, whether your specification matches a standard product or needs custom manufacture, and freight/logistics to your delivery location. RFQs for Bulk Orders Are a Slightly Different Conversation
Everything above applies to a one-off or project-specific RFQ. Bulk and repeat-supply orders add a few more questions worth raising up front: minimum order quantities and price breaks at different volumes, whether you want a scheduled delivery (staged releases against one PO) rather than a single shipment, and whether you’re willing to consider an equivalent standard if your specified one has a long lead time. If your order involves import or export logistics, it’s also worth stating your expected delivery terms explicitly using standard Incoterms (EXW, FOB, CIF, DAP, and similar) rather than leaving freight responsibility implied — this is a common gap in otherwise well-written RFQs, and one that affects the final landed price more than almost any other single field.
